In congress delivery, success depends on both strong pre-planning and confident onsite execution.
The planning phase lays the foundation, from aligning teams and defining processes to shaping the delegate experience. At the same time, congress environments are live, complex, and often unpredictable. Timelines shift, unexpected scenarios arise, and teams must adapt quickly while maintaining quality and control.
The difference between a smooth, successful congress and a stressful one comes from how well these two elements work together. It is not just about having a solid plan, or reacting well in the moment, but about preparing teams to bridge both. What truly sets delivery apart is how ready a team is, both before they arrive onsite and when it matters most.
At Emota, we’ve built our Congress Academy around that belief: that exceptional congress delivery comes from teams who are prepared at every stage, from early planning through to confident onsite execution.
Delivering congresses requires a unique combination of technical knowledge, practical experience, and the ability to collaborate seamlessly across teams and partners. But in a fast-growing, global environment, maintaining that level of consistency isn’t something that happens by chance.
The Congress Academy was created to ensure that every member of our team, whether new to the business or building on existing experience, has the skills, confidence, and shared understanding needed to deliver at the highest standard.
By investing in structured, practical training, we’re not just developing individuals, we’re creating aligned, high-performing teams that can deliver consistently for our clients, no matter the scale or complexity of the congress.
The Academy is designed to reflect the reality of congress delivery, building knowledge first and then applying it in practical, high-pressure scenarios.
Part 1: Building strong foundations
Part 1 focuses on the core components that underpin every successful congress: housing, registration, ancillary meetings, and sponsorship.
Rather than simply introducing terminology and processes, the sessions are designed to show how each element connects to the wider delegate and client experience, ensuring that nothing is treated in isolation.
Colleagues hear directly from experienced specialists across the business, bringing context and real-world insight to each topic. This includes perspectives on congress environments, project leadership, and the detailed logistics that sit behind seamless delivery.
The result is a clear, shared understanding of what good looks like, and why it matters.
Part 2: Preparing for the Reality of Onsite
If Part 1 builds knowledge, Part 2 brings it to life.
Focused on onsite delivery, this stage of the Academy is built around scenario-based learning and hands-on application. Participants are placed in realistic situations that mirror the challenges teams face during live congresses, helping them develop confidence, judgement, and decision-making skills.
From managing health and safety considerations to navigating resourcing decisions and maintaining clear communication under pressure, the emphasis is on preparing teams for the realities they will face onsite.
Because ultimately, it’s not just about knowing what to do, it’s about being able to do it when it matters most.

For our clients, the impact of this approach is tangible.
This investment in our people directly translates into smoother delivery, reduced risk, and a better overall experience for delegates and stakeholders alike.
Beyond skills development, the Congress Academy has also played an important role in strengthening connections across our business.
Delivered through in-person sessions with hybrid links across our Ashby, Manchester, and London offices, the programme creates space for collaboration, conversation, and shared learning. Colleagues are able to exchange experiences, compare approaches, and gain insight into how different teams support clients across a range of congress environments.
The Academy has already engaged colleagues across multiple sessions, with participants progressing through both Part 1 and Part 2, building capability that continues to strengthen how we deliver as a business.
Participant feedback highlights the impact of the programme:
“The presenters were extremely effective, very knowledgeable and explained the content very well. As well as giving real experiences which were valuable to know.”
“The activities were really useful and encouraged you to apply what had been learnt.”
“I thought Frankie, Laura and Heather were super knowledgeable as logistics team and could provide a lot of lived experience and tips/tricks into all the sessions.”
The Congress Academy is one example of how we continue to evolve and strengthen our approach to congress management.
By combining structured learning, real-world application, and cross-team collaboration, we are ensuring our teams are not only knowledgeable, but fully prepared for the realities of delivery.
Because in congress environments, preparation isn’t just important, it’s what defines success.
